AIFM Portfolio Management - Senior Administrator

Reports to the AIFM Portfolio Management - Director

Responsible for supporting the establishment and operation of the Aztec AIFM business in Luxembourg. Partnering with our internal team and clients, the role is responsible for supporting the design and implementation of the portfolio management function framework.
From the outset, the individual will partner closely with colleagues, our external consultants and to develop out Aztec AIFM services and operations.
This is a very exciting opportunity to lead and shape a new service offering that is strategically important to Aztec and our clients.
The individual will be excited about starting with a blank page to build a market leading AIFM business that is high quality, scalable and dynamic. You will be a key member of the AIFM management team who collaborate together to achieve strategic outcomes for our people and clients.
This is a split role, primarily to support portfolio management but also marketing function and other AIFM operational tasks.


Key responsibilities:

  • Be in charge of the organisation, preparation and participation in Investment Committees (“IC”)
  • Be the point of contact with the investment advisors of the funds for all investment related activity
  • Assess and analyse investments and divestments, including assistance in asset AML/KYC, and adjustments to projects requiring IC decision
  • Ensure the compliance of the investment strategies with the investment policies of the funds
  • Monitor the execution of investments and disinvestments according to the decision of the Investment Committees
  • Prepare reports for AIFM and third parties
  • Collaborate with other Aztec AIFM and Aztec Group departments to ensure adherence and continuous improvement of processes
  • Be responsible for the procedures related to the portfolio management activities
  • Perform initial, periodic and ongoing due diligence on delegates and services providers, including co-ordination of due diligence questionnaires, risk assessments, the maintenance of registers, reporting and contracts
  • Collaborate with AIFM functions and other business activities in the delivery of services to clients 
  • Escalation and resolution of client and delegate issues relating to portfolio management
  • Escalation of incidents / breaches and risks to the AIFM, including the identification and management of known / unknown gaps
  • Keep up-to-date and report on best practices, industry changes and trends that may impact on AIFM’s Portfolio management activities
  • Support Management Committee in selected tasks


Skills, knowledge, expertise:

  • Degree in Business Administration, Economics, Finance or comparable education
  • Experience in asset management
  • Working knowledge of private equity, real estate, infrastructure and fund of fund asset classes
  • Independent critical thinking and analysis
  • Able to take responsibility, prioritise, use initiative and to get on with others as a team player
  • Sound understanding of Luxembourg regulations applicable to AIFMs
  • Excellent interpersonal skills are required to develop close working relationships with colleagues, clients and stakeholders
  • Solution-orientated and high level of integrity and dependability
  • Effective communicator in both written and oral communication formats
